This Privacy Policy explains how MentSpire (“we,” “us,” or “the Company”) collects, uses, shares, and protects personal information across the Sri Lankan Event Portal, the Sri Lankan Wedding Portal, all dedicated category portals, and the parent Event Vendor Portal.
These provisions apply to everyone who uses the Platform — Guests and Vendors alike. Sections specific to each group follow after this part.
The Platform is operated by MentSpire, the parent company behind Event Vendor Portal, the Sri Lankan Event Portal, the Sri Lankan Wedding Portal, and each dedicated category portal (Emcees, Makeup Artists, Musicians, Visual Artists, and other event vendor categories). For the purposes of this Policy, MentSpire is the data controller responsible for personal information collected through the Platform.
This Policy applies to all personal information collected through the Platform, whether you are a Guest searching for vendors for any type of event (weddings, corporate parties, exhibitions, conferences, birthdays, and others), or a Vendor listing your services. It does not apply to third-party websites or services linked from the Platform.
We collect information you provide directly (such as account details, event requirements, and profile information), information generated through your use of the Platform (such as availability checks, tentative booking requests, and searches within the daily virtual exhibition), and limited technical information (such as device type, browser, and general location) collected automatically to operate and secure the Platform.
We use collected information to operate the Platform's core function — connecting Guests with Vendors across every event category — including displaying vendor availability, facilitating tentative bookings, showing applicable discounts or promotions, maintaining accounts, communicating essential service updates, and improving the Platform's functionality and security.
We process personal information on the basis of: performance of the service you have requested (e.g. displaying your search results or your vendor listing); your consent, where required (e.g. marketing communications); and our legitimate interest in operating, securing, and improving the Platform.
When a Guest contacts or tentatively books a Vendor, relevant booking-related information (such as event date, event type, and contact details necessary to coordinate the booking) is shared with that Vendor. We do not sell personal information to third parties. We may share limited information with service providers who help us operate the Platform (such as hosting or analytics providers), under confidentiality obligations.
The Platform does not process, hold, or store payment information between Guests and Vendors, as all payments for services are made directly between the two parties. Vendor subscription payments to the Platform, where applicable, may be processed via a third-party payment processor, which has its own privacy practices.
We only send marketing communications to individuals who have opted in via the Platform's consent process at sign-up. You may unsubscribe from marketing communications at any time by clicking the ‘unsubscribe’ link in any email we send, or by adjusting your communication preferences in your account settings. Opting out of marketing communications does not affect essential service-related messages (e.g. booking confirmations).
The Platform may use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Platform is used, so we can improve it. You can control cookie preferences through your browser settings; disabling certain cookies may affect Platform functionality.
Because the Platform serves Sri Lankans in Sri Lanka, the Sri Lankan diaspora worldwide, and (via the global Event Vendor Portal) vendors and guests in other countries, personal information may be transferred to and processed in countries other than your own. Where this occurs, we take reasonable steps to ensure your information continues to receive an appropriate level of protection.
We retain personal information for as long as necessary to provide the Platform's services, comply with legal obligations, resolve disputes, and enforce our agreements. Vendor listings and associated data may be retained for the duration of an active subscription and a reasonable period thereafter for record-keeping purposes.
We take reasonable technical and organizational measures to protect personal information against unauthorized access, loss, misuse, or alteration. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.
Subject to applicable law, you have the right to access, correct, or request deletion of your personal information, to object to or restrict certain processing, and to withdraw consent where processing is based on consent (such as marketing communications). To exercise these rights, contact us using the details in Section 16.
The Platform is not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected such information, we will take steps to delete it.
We may update this Privacy Policy from time to time to reflect changes to the Platform or applicable law. Continued use of the Platform after changes are posted constitutes acceptance of the revised Policy.

This Privacy Policy is governed by the laws of Sri Lanka, including the Personal Data Protection Act, No. 9 of 2022, where applicable. Any dispute arising from this Policy shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
